It’s a dreaded, time-consuming task of scheduling a meeting:

· Across calendars
· Calculating time zones
· Managing existing conflicts
· Managing rescheduling requests

We also know that certain times of day are better for different types of thinking. Wouldn’t it be great if we could just say that we want to meet with a list of people, sometime in the next week, maybe set a threshold for the number of Optional attendees differently, understand when a conflict is because of working hours and have the time magically selected?

Meeting to Meet About What you’re Meeting About…
When a meeting invitation doesn't have an agenda, too much precious time is spent clarifying the objective, instead of making progress on the actual meeting goals! How much time would we save if everyone knew how to easily create a perfect meeting agenda and you knew what was expected of you before showing up to a meeting? It should be simple to create a meeting invitation with:

· friendly formatting
· Clear communication of goals
· Attendee roles in the meeting
· prep to do before the meeting
· Collaborative Agenda suggestions

Emails take thought to plan and often aren’t completed right away, that’s why most email clients manage draft emails. A thoughtful agenda takes time too, so why doesn’t your calendar track and save drafts for WIP meeting agendas? No more questioning what happened to that meeting agenda you were working on before you closed that tab!
In order to create well thought out meeting agendas, there are some important features which are necessary such as:

How many times do you have something on your schedule, only to find that someone books another meeting in that same slot, and last minute you end up cancelling on one? Until cloning is as accessible as Starbucks, being in two places at once isn’t an option for anyone.

There’s another, much bigger problem. Conflicts are often the results of no available times on calendars. If you can join a phone call while walking the dog, that shouldn’t have the same “blocked” status as when you’re meeting with a client or with your team. Why can't we make it easier to:

· Avoid booking conflicts
· Have time available (sounds harder than it is!)
· Politely request to "bump" a conflicting event when needed
· Set expectations early for which events we'll be attending
· Be informed about conflicts immediately

On the phone with a customer, frantically trying to finish that call and get to your next meeting on time. Sitting with a colleague, gulping as you try to wrap up and run to the elevators to make it to your next back-to-back meeting. Sound familiar? The challenge is how to respectfully let those waiting know in real time that your schedule has changed, so that they can decide the best way to proceed.
To be respectful of peoples' time, we need an unobtrusive way to:
· Let people know we're running 5 minutes late
· Let people know at the last minute that we can't be at a meeting
· Ask people to start the meeting without us
· Cancel a meeting at the last minute
· Inform all meeting attendees, regardless of if they're on a company's chat tools!

I’ve Heard this Before…
Either people didn’t know that the conversation already happened or there was no clear conclusion or no notes distribution after the meeting. We need to stop living in the meetings version of Groundhog Day!

· The agenda should easily convert to a framework for meeting notes
· Attendees should be able to contribute to meeting notes in real time
· Action Items be created and managed seamlessly while we're in a meeting
· Relevant notes should be copied to the next meeting(s) for the same topic(s)
· Meeting notes should stay linked to the event
· Draft versions of notes for easy review before distribution
· Meetings notes should be sent directly to everyone who wants them

Whew! We need a lot for our meeting time to be used meaningfully!

We also know that sometimes we need to step away from a call and don’t want to announce it to everyone. In order to properly run a meeting we need to:

· Receive status updates when attendees step away or leave the meeting

In order to ensure that the goals of a meeting are accomplished, it is critical to:

Being able to resolve a topic means making sure we all have the same agreed on list of meeting outcomes and can manage and track those action items. Let’s make sure everyone receives the same set of meeting notes and has their action items organized for visibility and follow-up. Also, let’s be able to contribute to meeting notes in real time so that we don’t have to check six different tools to find where someone shared information they wanted included.
